ABOUT THE ROLE:

The Office Manager plays a vital role in ensuring smooth and efficient operations at Park City Landscaping and Construction. The ideal candidate is an organized and proactive professional who can manage daily administrative tasks while also assisting with strategic planning to support the team in delivering exceptional service.

In this role, you will act as the backbone of our office operations, directly supporting the Owner and management team while overseeing key responsibilities such as invoicing, payroll, client communication, and reporting.

KEY RESPONSIBILITIES:

  • Invoice & Payment Management: Prepare and send invoices, track payments, and send reminders as needed.
  • Client Communication: Send maintenance reports to clients after each visit to keep them informed.
  • Content Creation: Publish two blog posts weekly to enhance the company’s online presence.
  • Payroll Processing: Manage timesheets and payroll, verifying details with team members before final approval.
  • Financial Oversight: Monitor expenses and payments, assign costs to projects, and track profitability.
  • Performance Reviews: Conduct weekly meetings with the Owner to review performance and identify improvement areas.
  • Administrative Support: Handle daily tasks, respond to urgent manager requests, and manage client calls. Track lead sources to analyze client origins.
  • Process Improvement: Develop documentation and workflows to enhance operational efficiency.
  • Social Media Management: Support social media posting to increase brand visibility.
  • Proposal & Quotation Assistance: Assist in preparing proposals and quotations for prospective clients.

Requirements:

  • Proven experience in office management, administration, or a similar role
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); familiarity with accounting software is a plus
  • Exceptional written and verbal communication skills
  • Attention to detail and strong problem-solving abilities
  • Experience in the landscaping or construction industry is an asset but not required
  • Ability to take initiative, work independently, and collaborate effectively with a team

PAY:

$2,850 to $3,350 per month

FLEXIBLE LANGUAGE REQUIREMENT:

French is not required; Spanish is a plus.

DESCRIPTION OF DUTIES:

  • Leads will be assigned through our office manager.
  • Must call, schedule, and attend to leads based on customer availability.
  • Manage multiple projects simultaneously, ensuring all estimates align with company pricing.
  • Ensure all project estimates adhere to company-approved pricing.
  • Prepare detailed estimates, communicate with clients, and follow up on proposals.
  • Assist the company construction crew/subcontractors with initial job setup.
  • Provide clear direction to construction crew members to ensure project success.
  • Attend project and planning meetings with management to identify solutions and opportunities.
  • Pursue professional development through GSR meetings.
  • Support and maintain a positive work environment and corporate culture.

SKILLS AND REQUIREMENTS:

  • Minimum of 3 years of experience estimating projects in the construction industry.
  • Valid driver’s license and access to a vehicle for attending appointments.
  • Experience with construction management software tools and current technology.
  • Proficiency in basic 3D and 2D rendering software.

COMPENSATION:

  • Base salary plus commission (to be determined).
  • Two weeks of paid vacation per year.
  • Car allowance (details to be discussed).

RESPONSIBILITIES:

  • Manage Your Construction Crew: You’ll be responsible for leading your crew to meet scheduling goals and exceed client expectations. Professional communication between management and clients is essential.
  • Project Management: Oversee projects to ensure they are completed according to approved plans, specifications, in-house drawings, and applicable building codes. Maintain high-quality standards and provide clear updates to management to meet project goals.
  • Material Management: Oversee the receipt, storage, and protection of materials, tools, and machinery provided by Park City Inc. Maintain a clean, organized, and professional worksite.
  • Warranty Service: Your crew will be responsible for servicing any work covered under the one-year warranty period. If any issues arise, your team must return to the job site and make necessary corrections at your own expense. As a representative of Park City Inc., your work must meet our quality control standards. Our project manager may conduct inspections to ensure work aligns with the initial drawings and scope.
  • Pre-Project Details and Measurements: All necessary details and measurements will be provided before the project begins.

REQUIRED SKILLS AND QUALIFICATIONS:

  • A truck, tools, and the necessary employees to complete jobs efficiently.
  • Experience in reading plans and working with decks, fences, concrete forming, interlocking pavers, and general construction.
  • Experience operating excavators and skid steers, including basic routine maintenance.
  • Liability insurance.
  • A registered company with an HST number.

COMPENSATION:

Compensation will be determined based on the scope of work provided.

Pay Structure:

90% payment upon job completion.
10% payment 30 days after job completion.

ABOUT THE ROLE:

You’ll be working on-site in the Greater Toronto Area, assisting in landscape construction projects. This role involves both physical labor and coordination with your foreperson and/or lead hand to ensure projects are completed on time and within budget. The salary is based on experience and ranges from $20 to $28 per hour.

As part of your role, you must be comfortable working outdoors in various conditions and possess strong oral and written communication skills to collaborate effectively with team members and trades. Additionally, you’ll need good customer service skills when interacting with clients.

HEALTH & SAFETY COMPLIANCE:

  • Adhere to the Occupational Health and Safety Act to maintain a safe work environment.
  • Participate in team meetings and company health and safety policies.

REQUIRED KNOWLEDGE & SKILLS:

  • Strong understanding of hardscape and softscape materials and installation procedures.
  • Ability to operate tools and machinery relevant to landscape construction.
  • A valid driver’s license is required.

KEY RESPONSIBILITIES:

  • Work under the direction of your foreperson or construction manager.
  • Organize tools and materials to execute tasks according to instructions and/or project drawings.
  • Follow all health and safety regulations on-site.
  • Perform general labor tasks, including but not limited to:
    -Digging, planting, carrying materials
    -Building decks and fences
    -Laying sod and bricks
    -Concrete work
    -Site cleanup
  • Operate tools and machinery as required.
  • Ensure the final project aligns with the scope of work and is free from defects.
  • Maintain strong attention to detail when receiving and following instructions.

ADDITIONAL RESPONSIBILITIES:

  • Assist in inventory control for materials, equipment, and tools.
  • Adhere to company policies and procedures.
  • Propose process improvements to enhance efficiency and productivity.
  • Identify cost-saving opportunities and suggest ways to minimize waste.
  • Represent Park City Landscaping and Construction Inc. professionally at all times.
  • Take on additional responsibilities as assigned.
